What is SmartTrack College Success?SmartTrack is a personalized academic coaching service for college students. We provide one-on-one support to help students stay organized, make smart academic decisions, and graduate on time—with confidence. We serve as a trusted mentor and advisor outside the university system, offering structure, accountability, and expert guidance every step of the way.

Who is SmartTrack designed for?SmartTrack is for any undergraduate student—whether they’re thriving, struggling, or somewhere in between. We work with students who are overwhelmed by the demands of college, students who need help navigating specific challenges like ADHD or academic probation, and students who simply want to stay on track and make the most of their college experience.

What materials do I need for the initial consultation?For the initial consultation, we recommend having the student’s most recent transcript or grade report, their current course schedule, and access to their university portal if possible. If there are any specific concerns (e.g., missed deadlines, accommodations, GPA requirements), it’s helpful to bring those as well. No need to prepare extensively—we’ll guide you through everything during the meeting.

What happens during the initial consultation?The initial consultation is a 15-20 minute Zoom or phone call with the student and parent (if available). We’ll discuss the student’s academic history, current challenges, and future goals. This is a chance to assess where they are, identify any immediate issues, and explore how SmartTrack can support them moving forward. There’s no pressure—just an honest, supportive conversation to see if we’re the right fit.

How do we get started?After your initial consultation, you’ll receive a follow-up email that includes a recap of our discussion, a secure link to complete the onboarding payment, and an upload link where you can share any additional documents or information relevant to your student’s situation. Once those steps are complete, we’ll begin creating your child’s custom SmartTrack Report—an individualized academic plan designed to address their needs, outline key action steps, and set the foundation for success. From there, we’ll schedule the first coaching session and officially kick off their SmartTrack journey.

What does a typical month of support look like?Each month, your student will have a focused one-on-one check-in with Dr. Terrell to review their academic progress, upcoming deadlines, and any challenges they're facing. These check-ins are typically 10–15 minutes long and provide structure, accountability, and encouragement. After each meeting, you’ll receive a personalized summary report with notes, action steps, and important reminders—keeping you informed and your student on track. In between check-ins, students can also reach out with questions or concerns as needed. Our goal is to provide consistent support without overwhelming their schedule.

How often do you meet with students?Students have scheduled monthly check-ins, but many also benefit from brief touchpoints in between—especially around key academic dates like registration or midterms. Our goal is to provide steady, ongoing support while respecting your student’s time and schedule.

How do parents and students participate in the process?At SmartTrack, students are at the center of everything we do—but we also believe that parental involvement, especially early on, is essential to long-term success. It is Dr. Terrell’s vision that parents play an active role during the onboarding process, helping to establish clear goals, identify concerns, and ensure that everyone is aligned from the start. As the student gains confidence and independence, the level of parental involvement may naturally adjust—always in a way that feels appropriate and supportive for the student. Parents receive monthly update emails summarizing progress and next steps, and are encouraged to reach out with questions or insights at any time. Our goal is to build a collaborative relationship where we make smart course corrections along the way, so students stay on track—academically and personally.

What’s included in the onboarding process?Once enrolled, students complete a brief intake form and upload any relevant documents (such as transcripts, course schedules, or advisor notes). Parents are also invited to contribute their perspective—sharing concerns, observations, and goals for their student’s success. From there, Dr. Terrell creates a custom SmartTrack Report, which outlines the student’s academic standing, identifies potential risks, highlights important deadlines, and provides tailored recommendations. This report serves as the foundation for our ongoing support, ensuring that everyone—student, parent, and coach—is aligned from the very beginning. Our goal is to start strong with clear direction and adjust as needed throughout the student’s journey.

Can we unenroll at any time?Yes. We want families to feel confident and comfortable throughout the process. While most families stay enrolled for the full academic year, SmartTrack operates on a month-to-month basis with no long-term commitment. You’re free to pause or cancel your subscription at any time. For many students, support naturally winds down toward the end of their senior year, as they gain independence and begin coasting toward graduation. When that time comes, we simply ask for one thing: send us a graduation photo. It’s our favorite kind of update—and a reminder of why we do what we do.

It’s not uncommon for students to drop multiple classes, misinterpret academic policies, miss key deadlines, or run into issues with professors or assignments—all of which can quietly delay graduation and cost families thousands in extra tuition. Our role is to catch these issues before they become problems. Through regular check-ins and strategic planning, we help students make informed decisions, avoid costly mistakes, and stay on a clear, efficient path to graduation. So while everything may seem smooth right now, SmartTrack is the behind-the-scenes support system that protects your investment and ensures your student finishes strong—with clarity, confidence, and no surprises.

Can SmartTrack help students on academic probation or at risk of dismissal?Absolutely—and it happens more often than most parents realize. Many students quietly struggle until things spiral—resulting in low GPAs, academic probation, or even the threat of dismissal. These situations are stressful, complex, and usually involve multiple steps to resolve, including communication with advisors, professors, academic appeals, and careful course planning. At SmartTrack, we have extensive experience guiding students through these challenges. We step in quickly to assess the situation, create a realistic recovery plan, and build momentum in both academics and mindset. We also work directly with campus resources to ensure your student is getting every opportunity to succeed. With the right structure and support, most students can get back on track—and we’re here to make sure they do.

Do you help students choose a major or career path?Yes—this is one of the most important parts of what we do. Many students feel unsure about their major or future career direction, and that uncertainty can lead to costly changes, lost time, and a lack of motivation. At SmartTrack, we guide students through a thoughtful, structured process to help them explore their interests, strengths, and academic options. We don’t just talk through it—we take action. When possible, we pair students with a mentor or professional contact in their field of interest so they can gain real-world insight into what that career path actually looks like. These conversations often help students confirm their direction—or pivot early—before investing more time and tuition into a path that may not be right for them. Our goal is to help students feel confident in their choices and see the connection between what they’re studying now and where they want to go in the future.

Does SmartTrack work with my student’s college or university?Yes—SmartTrack regularly collaborates with campus resources to ensure students get the support and accommodations they’re entitled to. We know that navigating university systems can be confusing and overwhelming for students—and often, they don’t know who to talk to or how to advocate for themselves. That’s where we come in. When appropriate, we reach out directly to campus departments on behalf of your student, including: Disability Services Academic Advising Dean of Students Financial Aid Residence Life The Provost’s Office (for academic appeals or policy grievances) Whether your student needs to clarify a university policy, request accommodations, resolve a conflict with a professor, or file a grievance, we intervene professionally and strategically—often writing letters, guiding communications, or making direct contact with the appropriate office. This level of advocacy is one of the things that sets SmartTrack apart. We don’t just coach from the sidelines—we step in when necessary to ensure your student is seen, supported, and treated fairly.

How much does SmartTrack cost?SmartTrack Pricing & Support SmartTrack services are offered at a flat rate of $99 per month—with no enrollment fee and no long-term contract required. Are there different plans or pricing tiers?While most students are a great fit for our Standard Plan ($99/month), we also offer customized support plans for those who may require more intensive, ongoing assistance. This includes students who: Are on academic probation Have significant academic challenges Require complex disability-related support Need more frequent communication and intervention If your student falls into this category, we’ll discuss it transparently during the initial consultation and recommend a support level that reflects their specific needs. We believe in fair, flexible pricing—so you only pay for the level of support your student actually needs.
